302 Guidance Secretary Classification I Class B

Reports To:                                       Director of Guidance/Building principal, unless otherwise noted

Work Schedule:                               7.5 hours per day, Monday through Friday, 42 weeks per school calendar year

Main Job Tasks and Responsibilities

  • Begins the enrollment process for all students, checking their residence, legal guardianship, and previous educational information.
  • Schedules all college rep. Visits for school hour sessions and then assists the representative when they arrive at the school.  Schedule the students interested in attending sessions then send for these students.
  • Greets visitors to our area and provides a multitude of information or directs them to the proper office.
  • Answers the phone numerous times per day- always helpful, friendly, and informative.  The secretary then directs the calls to six (6) counselors and 1+ in the registrar's office.
  • Sets up the Scholarship File Box and keeps an adequate stock of applications for students and parents.  Works as a liaison between our students and community groups who give or pick up applications.
  • Distributes a variety of college applications, information, testing applications, etc., to students and parents.
  • Signs up all drivers' education applicants and treats all applicants fairly as to time slots assigned.  (This is an almost impossible task because families become very emotional over this issue.)
  • Assists in completing the school portion of all transcripts-and there are literally over a thousand- and supplies the necessary transcript making sure that students have completely followed instructions.
  • Orders and oversees the supplies necessary for the guidance office including counselor's needs, application forms, etc.
  • Handles communication for our outside representatives from the H.O.P.E.
  • Program, Success through Education, and 21st Century Program.
  • Types letters and forms for classroom distribution as counselor's needs arise.
  • Inputs all computer information related to student data as students enroll or change addresses.
  • Types and processes all the withdrawal forms which involves communication with seven (7) teachers per student.
  • Handles piles of mail and numerous misdirected phone calls.
  • Responsible for completing yearly State Dropout Report.
  • Via the Internet, must input all information required by the state regarding students who are eligible for Academic and Core 40 diplomas.

Education and Experience

  • High School Diploma or equivalent
  • Computer knowledge.
  • Proficiency in typing.
  • A working knowledge of general office procedures.
  • Good telephone manners.
  • Maintain confidentiality.
  • Previous secretarial experience.

Salary and Benefits

 Payment Type:                  $11.19 per hour
