357 Student Support Services Secretary

Reports To:                         Director of Student Supports Services

Work Schedule:                 7.5 hours per day; Monday through Friday; 12-month position

Job Summary

This position provides administrative support to the Director of Student Support Services and staff which includes secretarial duties, computer?based management of information, establishing and maintaining department records, coordinating assigned projects, and compiling and distributing a variety of material and reports.

Main Job Tasks and Responsibilities

  • Prepare and assist with reports including but not limited to: student information and staffing
  • Assist with professional development, presentations, special projects including planning and event registration
  • Process submitted IEP’s, review for accuracy and compliance and provide weekly reports on status
  • Assist with or organize various meetings and presentations
  • Maintain a calendar of all department and administrator activities
  • Maintain accurate student database and reporting
  • Maintain special education program records in compliance with State, Federal, and District guidelines
  • Maintain special education records which also includes preparing and receiving records requests from other schools in and out of state and state agencies
  • Assists with coordination of special education student transportation needs
  • Assists with Department of Education reporting requirements
  • Assist with the organization of the Extended School Year program
  • Process mileage, expense claims, purchase orders, low incidence requests etc., for all special education staff
  • Provide administrative support to director including, but not limited to preparation of presentations, confidential files, reports, travel documents, tracking, calendar management, correspondence and answering incoming calls
  • Process contracts with Non?public schools, Non? public agencies and specialists providing services for department
  • Maintain inventory and order department supplies and equipment
  • Attend district or other trainings as offered
  • Track necessary information for students on 504 plans
  • Set up staff accounts and train for IIEP and other software systems used for curriculum and instruction.
  • Schedule manifests as requested by building administration
  • Assist Director on tracking grant expenditures including but not limited to understanding grant compliance when purchasing or scheduling professional development; monitoring status of grants and providing necessary reports on a monthly basis
  • Process student evaluations and track timelines
  • Other related duties as assigned

Education and Experience

  • High School Diploma or equivalent
  • General office skills (able to operate all office machines and type)
  • Basic understanding of grant protocol, preferred
  • Previous experience in a special education field, preferred
  • Must maintain a calm, patient and understanding demeanor at all times
  • Ability to retain confidential information
  • Ability to communicate with all staff
  • Experience with Microsoft Office and Google

Salary and Benefits

 Payment Type:                  $14.94 / per hour
